These terms apply when you use Exchange: applying to an exchange, using a participant or staff account, or registering for a community workshop.

The service
Exchange is a platform that organisations use to run youth exchanges. Each exchange is run by its organisers, who set its conditions, such as who may apply and what costs are covered. These terms do not replace those conditions.
Applying
- Give accurate and complete information. A false statement can lead to your application being rejected or your place being withdrawn.
- Sending an application does not guarantee a place. Organisers decide, and their decision on a call is final within the platform.
- Apply once per call. Duplicate applications may be merged or ignored.
Accounts
- Accounts are created by invitation. Keep your password, passkeys and codes to yourself.
- Tell us quickly if you think someone else has used your account.
- We may suspend an account that is misused or put at risk.
Your content and media
- You must have the right to upload what you upload, and anyone clearly shown in a photo or video should be happy for it to be shared.
- Do not upload anything unlawful, abusive or harmful.
- You keep ownership of your content. By submitting daily logs and media you allow the organisers to store them, to create branded copies and to publish items they have approved, for the purposes of the programme. Originals are never overwritten, and you can ask for an item to be removed (see the privacy notice).
Reimbursements
Claims open 24 hours after your scheduled return and can be submitted until the deadline shown in your claim. Only expenses allowed by your project and supported by receipts are reimbursed, and each item is reviewed. Amounts are paid in the currency and by the method the organisers agree with you.
Community workshops
Workshops are free to attend. Registration is not a guarantee of a seat: the host may select attendees using the published rules, and may cancel or change a workshop. We use your registration details only to run that workshop.
Acceptable use
- Do not try to access other people's data or to disrupt the service.
- Do not use automated tools to submit forms or collect data from the site.
- Do not use the platform to harass or mislead others.
Availability and changes
We work to keep the service available, but it may be interrupted for maintenance or for reasons outside our control. We may change the platform or these terms; if a change matters to you we will say so on this page.
Liability and governing law
